Bookings
We recommend that bookings are requested at least four (4) weeks prior to the intended visit date. Bookings requested within four weeks of the visit date are accepted at our discretion and may be subject to limited availability. Our education programs are very popular, and we suggest booking early to avoid disappointment.
All bookings must be submitted via our online booking form. We are unable to accept bookings by phone or email.
Confirmation
A booking is confirmed and becomes binding once a confirmation email and invoice are emailed from our bookings office to a school representative. This will be followed by an automated tax invoice from our booking system.
If any of the dates you nominate on the booking form are available, you will receive a confirmation email and an invoice, to be paid fourteen (14) days prior to arrival. If the dates are not available, the Bookings Team will be in touch with alternative dates for your consideration.
Once confirmed, the booking will proceed unless written notice is provided to us by a representative of the school. Please note the conditions below relating to changes, rescheduling, and cancellations.
Payment
- All bookings must be paid in full no later than fourteen (14) days prior to the visit date.
- For bookings requested less than fourteen (14) days prior to the visit date, full payment is required at the time of confirmation.
- If alternative payment arrangements are required, these must be requested in writing as early as possible.
- Non-payment does not constitute cancellation. Written notice of cancellation is required. Please see cancellation conditions below.
Incursions – Travel Fee
For all incursions, a travel fee is applied based on school location and included in the invoice.
Changes to Bookings
Any client-requested change (including, but not limited to, participant numbers, program details, change of date, change of time, or cancellations) must be submitted in writing to the bookings office.
Participant Numbers
- Changes made more than fourteen (14) days prior to the visit date: no charge.
- Changes made within fourteen (14) days of the visit date: $100 administration fee is applied.
Where a request involves both a change to participant numbers and a change of date, the following rescheduling conditions apply.
Rescheduling
Rescheduling is subject to availability. If you request to change your booking to a new date:
- Rescheduling with more than four (4) weeks’ notice: no fee.
- Rescheduling with less than four (4) weeks’ notice: $500 rescheduling fee.
Rescheduled bookings must take place within the same financial year due to staffing and budget allocations. If a new date is requested in a different financial year, the original booking will be treated as a cancellation and cancellation fees will apply.
If a rescheduled booking is subsequently cancelled, cancellation fees will be calculated based on the original booking date, not the rescheduled date.
Rescheduling Due to Weather
Most National Trust education programs include outdoor activities. Indoor or under-cover alternatives are offered in poor weather.
If you wish to reschedule due to weather, you must notify the Bookings Team in writing no later than seven (7) days prior to the visit date. A $500 rescheduling fee applies.
Cancellations & Failure to Attend
- All cancellations must be submitted in writing.
- Cancellations more than thirty (30) days prior to the visit date: full refund (less any non-recoverable costs, if applicable).
- Cancellations fifteen (15) to thirty (30) days prior: 50% of the total invoice will be charged.
- Cancellations less than fourteen (14) days prior: no refund.
Failure to attend on the day of the booking will be treated as a cancellation, and the full fee will be charged.
The National Trust reserves the right to cancel or reschedule a booking in certain circumstances, including (but not limited to) extreme weather, site access issues, safety concerns, staff illness or unavailability, or other events beyond our control.
The National Trust will offer the client an alternative date. If the client cannot accept the new date, then the client will be offered a full refund. The National Trust will not be liable for any additional costs, losses, or expenses incurred by the client as a result of the cancellation.
Late Arrival
- Programs will commence at the scheduled start time.
- If the entire group arrives late, the program may be shortened to fit the remaining allocated time.
- If individual participants arrive late, the program will proceed without amendment.
No refunds are provided for late arrivals. Where a program is cancelled or significantly shortened due to late arrival, this will be treated as a failure to attend and no refund will be issued. It is the responsibility of the booking party to ensure punctuality.
